How Much Does a Queue Management System Cost? (Price Guide)

  • E-Token Solution Team

A queue management system can cost nothing on a free plan, a monthly fee for software, or a one-time sum for hardware. Software is usually priced per location or per staff member. E-Token Solution has a Free plan with 1 attendee, and paid plans from ₹2,100 ($30) a month for 5 attendees up to ₹9,100 ($125) for 20.

The three common pricing models

Vendors price queue systems in different ways, which makes quotes hard to compare. Most fall into one of these models.

Per location

You pay a fixed monthly fee for each branch or site, whatever the number of counters. This can suit a large branch with many counters, but it may be costly for small sites.

Per counter or per staff member

You pay for the number of people or counters serving the queue. Costs grow with your team, so a small clinic pays less than a large hospital. E-Token Solution uses this model, and calls each staff member an attendee.

One-time hardware

You buy a token dispenser, counter keypads and a display. There is no monthly fee, but there may be installation and maintenance costs, and customers usually cannot join the queue before they arrive. Ask hardware sellers for a written quote that covers every counter and display you need.

Which plan fits?

  • A one-person practice, such as a single doctor or consultant: start on Free.
  • A small clinic or a salon with up to 5 staff: Basic gives each person the attendee app.
  • A busy clinic, bank branch or service centre with a waiting area: Business adds the TV display for up to 10 attendees.
  • A hospital or large office with up to 20 staff, or visitors who speak different languages: Corporate.

For example, a clinic with 12 doctors could take the Business plan (10 attendees) and add 2 extra attendees at ₹399 each. Ask the sales team to confirm how extra attendees are billed.

What an attendee is

An attendee is a staff member who serves customers from the queue, such as a doctor, cashier, stylist or service advisor. Each attendee has their own services, working hours, breaks and holidays, and customers can choose a particular attendee when they book. You set these up in attendee management.

Count attendees by the people who serve customers, not by everyone on your payroll. A receptionist who only greets people is not an attendee. A pharmacist who serves a queue at a counter is.

Add-ons on a custom plan

If the fixed plans do not fit, E-Token Solution offers a custom plan where you choose modules. The listed add-on prices are:

Add-onListed price
TV screen₹1,000
Attendee app₹1,000
Visitor app₹1,500
Service management₹700
Multiple language support₹700

Confirm the billing period and what a custom plan includes by default with the sales team before you build one. Learn what each module does on the TV display, attendee app and visitor app pages.

How to estimate your monthly cost

You can work out a fair estimate in a few minutes before you speak to any vendor.

  1. Count the people who serve the queue. List every doctor, cashier, stylist or advisor who calls customers. This is your attendee count.
  2. Decide whether you need a waiting-room screen. If customers sit and wait on site, a TV display saves staff from answering "how long?" all day.
  3. Check your languages. If your visitors use more than one language, note that multiple language support is part of the Corporate plan.
  4. Pick the smallest plan that covers your needs. Add extra attendees if you are just over a plan's limit, and compare that with the next plan up.
  5. Add one-time costs. These include a TV, any extra phones or tablets for staff, and an internet upgrade if your branch needs one.
  6. Add tax and message charges once the vendor confirms them.

Repeat the same steps for each vendor, so you compare like with like. A per-location price that looks high may be cheaper for a large branch, while a per-attendee price usually suits smaller teams.

Hidden costs to ask any vendor about

The headline price is rarely the full cost. Ask every vendor these questions, including us:

  1. Tax: is GST included in the quoted price, or added on top?
  2. Messages: are SMS or WhatsApp notifications included, or charged per message?
  3. Hardware: do you need a particular TV, tablet, kiosk or printer, and who supplies it?
  4. Setup and training: is onboarding included, and is there a fee?
  5. Growth: what does it cost to add a staff member, a counter or a branch?
  6. Support: which channels are included on your plan, and at what hours?
  7. Contract: is there a minimum term, and what is the refund and cancellation policy?
  8. Data: can you export your data if you leave?

For E-Token Solution, setup is quick: depending on the modules you choose, the support team can get you running within 2 hours and trains your staff on each module. For the questions above that the pricing page does not answer, contact sales before you buy.

Free plans and trials

Free plans and trials let you test a system with your own customers before you commit. They are worth using, but check two things: what is switched off on the free tier, and what happens when a trial ends.

E-Token Solution offers both. The Free plan includes 1 attendee, the visitor mobile app and email support. There is also a 30-day free trial. A good way to test is to run one counter or one doctor on the system for a few weeks, check the ratings and reports, and then decide whether to move up. You can start your free trial here.

Frequently asked questions

What is the cheapest way to start?

The E-Token Solution Free plan costs nothing and covers 1 attendee with the visitor mobile app. Move to Basic at ₹2,100 ($30) a month when you need more staff.

Can I change plans later?

Yes. You can upgrade or change your plan by raising a support ticket or contacting the sales team.

Do bigger plans get better support?

Yes. Free and Basic include email support. Business and Corporate add chat and phone support.

Try it on your own queue. E-Token Solution has a free plan, and paid plans start at ₹2,100 or $30 a month.
