How to Set Up a TV Token Display in Your Waiting Area
Published
- E-Token Solution Team
To set up a TV token display, put a TV or monitor where waiting customers can see it, connect a device that can show the display screen, and link it to your queue software. With E-Token Solution, the TV Screen Application then shows current and upcoming tokens, queue positions and estimated waiting times, and updates on its own.
What a token display does
A token display is a screen in your waiting area that shows whose turn it is. Customers can sit down, fill in forms or step out, instead of standing at the counter and asking how long it will take.
The E-Token Solution TV Screen Application shows:
- The token being served now
- Upcoming tokens and appointments
- Each customer's queue position
- The estimated waiting time
It reads the data straight from your E-Token Solution account. When a booking is made, changed or served, the screen updates. Staff never update it by hand. Learn more on the TV token display page.
What you need
The general setup has four parts:
- An E-Token Solution plan that includes the TV Screen Application. It is included in the Business plan (₹5,100 or $69 a month) and the Corporate plan (₹9,100 or $125 a month). On a custom plan it costs ₹1,000 as an add-on. See the pricing page.
- A TV or monitor large enough to read from where people sit.
- A device that shows the display screen on the TV. In most setups this is a browser or a small device connected to the screen.
- An internet connection at the screen's location, so the display can receive live queue updates.
Device and internet requirements can vary, so confirm with the E-Token team which devices and connection they recommend for your setup before you buy any hardware. They can tell you what works for your number of screens and your building.
Step-by-step setup
Step 1: Set up your queue first
The display can only show what is in your account. Before you set up the screen, add your attendees (the staff who serve customers), your services, and your working hours, breaks and holidays. You do this in attendee management and appointment scheduling.
Step 2: Mount the screen
Fix the TV or monitor in its final position before you connect anything. It is easier to check viewing angles and cable runs once it is in place.
Step 3: Connect the display device
Connect the device that will show the display screen to the TV, and connect it to the internet. Keep it powered from a socket that is not switched off at night by accident.
Step 4: Open the TV Screen Application
Open the display screen for your E-Token Solution account on the device. The help center has product guides, and the support team can walk you through this step. Depending on the modules you choose, the team can get you running within 2 hours.
Step 5: Test with a real token
Book a test token from the web or the visitor mobile app. Have a staff member mark it as started and completed in the attendee mobile app. Check that the screen changes each time.
Step 6: Check it from the seats
Sit in the chairs furthest from the screen. If you cannot read the token number easily, the screen is too small, too far away or the text needs to be larger.
Choosing where to place screens
A good position matters as much as a good screen. Use these rules of thumb:
- Place the screen where most people sit, not only where they enter.
- Mount it high enough that people standing in front do not block it.
- Avoid spots with strong glare from windows or bright lights.
- Keep it close to the counters, so customers can link the token on screen to where they need to go.
- Make sure there is a power socket and a stable internet connection nearby.
Branding the display
You can change how the screen looks. The TV Screen Application lets you set the colours, fonts and layout to match your brand.
Keep readability first:
- Use strong contrast between text and background, such as dark text on a light background or the reverse.
- Choose plain fonts that are easy to read from a distance.
- Do not crowd the screen. The current token should be the first thing people notice.
- Use your brand colour for headers or borders rather than for large blocks of text.
Using several screens
Large waiting areas, buildings with several floors and places with more than one entrance often need more than one screen. The TV Screen Application supports multiple TV screens, so you can show the same queue in different parts of your building.
Some common layouts:
- A hospital with a screen in each department waiting room.
- A bank with one screen near the entrance and one near the counters.
- A temple with screens at the main gate and in a covered waiting area.
Each extra screen needs its own TV and display device. Ask the E-Token team how to set up several screens for your building.
Before you add screens, walk through the building the way a customer would. Note every spot where people stop and wait, such as the entrance, the stairs or a corridor outside a room. Those are the places where a second or third screen helps most. One clear screen in the right place often does more than two screens in the wrong places.
Troubleshooting common issues
Most display problems come down to a few simple checks. Work through these before you call support.
| Problem | What to check first |
|---|---|
| Screen is blank | Power to the TV and the display device, and the correct TV input |
| Screen does not update | The internet connection at the screen's location |
| Wrong or old queue shown | That the display is set up for the right E-Token Solution account |
| Text is hard to read | Screen size, distance from seats, glare and colour contrast |
| Token does not change after serving | That staff are marking visits as started and completed |
If a problem continues, contact E-Token Solution support. The Business and Corporate plans include support by email, chat and phone.
